The purpose of this role will be to act as the primary point of contact both internally and externally on all matters pertaining to the Office of the MD. The successful candidate will serve as a conduit between the MD and the Senior Management Team. EXET22
Key day to day responsibilities will include the following:
- Complete a broad variety of administrative tasks for the MD including but not restricted to: managing an extremely active calendar of appointments; composing and preparing correspondence that is often confidential; arranging travel plans, itineraries and agendas; compiling documents for meetings and compiling expense reports.
- Co-ordinate all documentation in relation to Meetings including meeting agendas and support documentation which must be circulated to appropriate Management Team Members in accordance with the organisation’s guidelines and as directed.
- Communicate directly, and on behalf of the MD, with staff, affiliated member organisations and others on matters related to programmatic initiatives.
- Research, prioritise and follow up on upcoming and emerging issues and concerns addressed to the MD including those of a sensitive or confidential nature
- Provide a conduit for smooth communication between the Office of the MD and internal departments, demonstrating interpersonal skills and the ability to maintain credibility trust and support with Senior Management staff.
- Work closely and effectively with the MD to them well informed of upcoming commitments and responsibilities, following up as appropriate.
- Successfully complete critical deliverables with a hands-on approach including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the MD’s ability to effectively lead the organisation.
- Prioritise conflicting demands; handle matters expeditiously, proactively and complete projects within deadline pressure.
- Receive and log all complaints received and ensure that they are acknowledged and dealt with according to complaints policy
- Provide a point of contact with affiliated member organisations and co-ordinates affiliated member meetings.
- Monitors and ensure compliance with Irish charity standards (Governance Code, Guiding Principles for Fundraising etc.).

Interested applicants will meet the following requirements:
- Education – a relevant third level qualification or equivalent.
- 8+ years of experience in a similar role with knowledge or ability to gain knowledge of the role of company secretary.
- Must be creative, resourceful and enjoy working within an environment that is mission driven, results driven and community oriented
- Ability to exercise good judgement in a variety of situations
- Strong written and verbal communication skills with excellent attention to detail
