Role: Purchasing & Systems Administrator

Location: Dublin 12 

Office based: Full time 

Salary: €35k 

Role requirements: 

  • As a Purchasing & Systems Administrator you will, 
  • Process purchase requisitions and create purchase orders in line with company procedures.
  • Monitor outstanding purchase orders and follow up with suppliers on delivery schedules.
  • Maintain accurate supplier, product, pricing, and purchasing data within ERP and procurement systems.
  • Ensure purchasing records, documentation, and databases are accurate and up to date.
  • Liaise with suppliers regarding order confirmations, delivery issues, pricing, and invoice queries.
  • Support inventory management by monitoring stock levels and assisting with replenishment planning.
  • Reconcile purchase orders, goods received notes (GRNs), and supplier invoices.
  • Generate purchasing reports, spend analysis, and KPI reports for management.
  • Assist with supplier onboarding, documentation, and compliance requirements.
  • Support system upgrades, testing, and implementation of new procurement processes.
  • Identify opportunities to improve purchasing procedures and system efficiencies.
  • Ensure compliance with company procurement policies and financial controls.
  • Provide administrative support to the procurement and operations teams.

Candidate Requirements: 

  • Previous experience in a purchasing, administration, inventory, or similar support role is desirable.
  • Excellent numerical aptitude and data entry accuracy with exceptional attention to detail.
  • Strong working knowledge of Microsoft Excel, including data analysis and reporting functions.
  • Proficient in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
  • Excellent communication and people skills with a professional and client-focused approach.
